Conditions of Let

  1. General
    1. All organisations and individuals making use of all or part of the Village Hall must respect in full the conditions of let. Failure to do so may result in additional charges being made and/or refusal of any future requests for use of the Hall.
    2. Organisations/persons who are responsible for the let of part, or all, of the Hall premises are accountable for the conduct of guests or other persons using the hall and for all Hall contents i.e. furniture, fittings and fixtures, throughout the full duration of the let from the time access is granted until the let is complete.
    3. The Hall Committee will not be held responsible for any loss or damage to equipment in the ownership of individuals or organisations letting any part of the Hall. Organisations/persons using their own/hired equipment must ensure separate insurance cover.
  2. Payment and Cancellation
    1. For private functions or income generating events, the total cost of booking must be paid to the treasurer at least 7 days in advance of the agreed time of access, otherwise entry will be denied. Regular clubs or groups will be invoiced monthly.
    2. For all one-off bookings there is a deposit of £20 to be made at the time of booking. This is returnable on condition that there is no damage or breakages and the premises are left in an acceptable condition.
    3. Cancellation with two weeks of the event will result in forfeiture of the deposit.
    4. In the event of cancellation after confirmation of booking and within 6 hours of the booked session, 100% of the fee will be payable.
  3. Use of Hall Facilities and Equipment
    1. Due care and all reasonable precautions must be taken when using any equipment, fixtures or furniture. Where operating instructions are displayed they must be followed in every respect. If you are unsure as to the operation of any item of equipment you should seek the advice of the Hall caretaker. Do not adjust the central heating controls.
    2. Organisations and individuals using the Hall and facilities for any purpose must also arrange for public liability insurance.
    3. Any damage to the equipment or damage to the furniture, fittings and fixtures or to the building itself will require full compensation (replacement value) unless it can be shown that the damage was accidental and was unavoidable.
    4. Any equipment used must be returned in its original state and to its proper storage. Any damage or breakage must be reported to the Hall caretaker.
    5. Toilets must be left in a reasonable condition.
    6. Any rubbish collected after an event must be removed from the venue and disposed of correctly (recycling facilities are available nearby at Friarton).
  4. External Environment
    1. All functions and activities associated with the use of the Hall must be confined to the Hall. The consumption of alcohol outside the Hall is strictly prohibited.
    2. All lets must remove any litter in and around the area surrounding the Hall caused by the let.
  5. Parking
    1. All vehicles must be parked in a manner that causes minimal disruption to the flow of traffic through the village. In particular, vehicles must not be parked on either side of the main road. There is sufficient parking space on Station Road.
    2. Where vehicles require to be parked in the area immediately to the front of the Hall entrance, for the purpose of loading/unloading or the safety and convenience of small children or elderly or disabled persons, the area adjacent to the entrance to Mayfield must be kept clear at all times.
  6. Noise Pollution
    1. Noise levels must be kept to an acceptable and legal level. Front and rear entrance doors to be kept shut during the use of the Hall.
    2. You must comply with the agreed finishing time and avoid further nose pollution as people leave the Hall and depart in their vehicles.
